Privacy Policy
Effective November 1, 2026.
This policy explains, in plain English, what information PulseKPI ("PulseKPI", "we", "us") collects, how we use it, and the choices you have. PulseKPI is a real-time KPI dashboard bot for real estate agents, teams and brokerages. If you have questions, email hello@pulsekpi.com.
The short version
- You choose which accounts to connect, and you can disconnect any of them at any time.
- We connect with read-only access wherever the provider offers it.
- Money figures come only from QuickBooks or your own spreadsheet, and PulseKPI can never move money.
- We never send your reports to your CPA, bookkeeper or anyone else unless you approve each send.
- We do not sell your data, and we do not share it for advertising.
- PulseKPI does not file taxes and does not give tax, legal or financial advice.
Information you give us
- Account details: name, email, phone (for daily summaries by text, if you choose), brokerage or team name, and your goals (for example GCI, closings and volume).
- Waitlist, demo and contact forms: your name, email, team size and anything you type in.
- Billing: payments are handled by Stripe. We receive your plan, billing status and the last four digits of your card, never the full card number.
- Support messages you send us.
Data from accounts you connect
PulseKPI only pulls data from services you connect, and only to build your dashboard, summaries and reports.

Where a provider uses sign-in (OAuth), we never receive your password. If a provider only offers an API key, we store it encrypted and use it only to read your data.
Our use of data received from Google APIs will follow the Google API Services User Data Policy, including its Limited Use requirements.
How we use information
- To build and refresh your dashboard, goal countdown, daily summary, quarterly spend review and reports.
- To calculate metrics like ROAS, ROI, cost per lead and cost per closing.
- To send you the summaries and alerts you choose, by email or text.
- To run billing, provide support, keep the service secure and fix problems.
- To improve PulseKPI using aggregated, de-identified usage information.
We do not use data from your connected accounts to train general-purpose AI models, and we do not use it to market to your clients.
Sharing with your CPA or bookkeeper
PulseKPI can prepare reports for your CPA or bookkeeper, such as profit and loss, expenses by category, mileage and an estimated tax set-aside. We send a report only after you review and approve that specific send. You can stop at any time. Set-aside amounts are estimates, not tax advice.
Who we share information with
- People you choose: your CPA, bookkeeper or team members, only as you approve or set up.
- Service providers who help us run PulseKPI (for example hosting, email and text delivery, and Stripe for payments), under contracts that limit their use of your data.
- If the law requires it, or to protect the rights, safety or security of users or PulseKPI.
- If PulseKPI is sold or merged, your information may transfer, and this policy will continue to apply to it.
We do not sell your data
We do not sell your personal information or your connected-account data, and we do not share it with third parties for their own advertising.
No tax filing or tax advice
PulseKPI organizes your numbers. It does not file tax returns, and nothing in PulseKPI is tax, legal, accounting or financial advice. Talk to a qualified professional about your taxes.
Security
We encrypt data in transit and at rest, limit staff access, and use each provider's official connection method. No system is perfectly secure, so we will notify you as required by law if a breach affects your information.
Your choices
- Disconnect any source from your settings or with the provider. We stop pulling new data right away.
- Ask us for a copy of your data, or to correct or delete it, at hello@pulsekpi.com.
- Turn off texts by replying STOP, and unsubscribe from emails with the link in each email.
- When you close your account, we delete your connected-account data within 30 days, except what we must keep for legal, tax or billing records.
Cookies
Our website uses only the cookies and similar tools needed to run the site and its forms. If we add analytics, we will update this policy.
Children
PulseKPI is for business use by adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
If we make material changes, we will post the new version here and tell account holders by email before it takes effect.
